Systems Access

How to Request Access

  1. Review the following listing with your supervisor to determine which systems you will need access to:
     

    1 Completion of the Faculty & Staff Systems Account Request Form is required for access to these systems. Please continue with the remaining steps in this section.
    2 An email request is required for access to these systems.  Refer to the associated page from the menu on the left for details.

  2. Complete the FERPA tutorial if you have not done so already; completion of the tutorial is required for systems access to be granted.
  3. Complete the Faculty & Staff Systems Account Request Form for those systems that require this form. Enter your UMD credentials if prompted.
    1. Select only those systems that are necessary for your job responsibilities; if you do not need access to a specific system, skip the section.
       

      If you need to add access to a current account, only select the new access you are requesting.
    2. Click the red help bubbles to assist you in making your selections.
    3. If you are requesting access to SIS, please review the following additional information:

      Type of Request

      • I need a new account:  If you do not currently have a SIS account
      • I have changed departments:  If you have a SIS account but have changed units and need a new SIS account
      • I need access for my current account: If you have a SIS account but need additional access
      • I have a joint appointment with another dept and need to keep my current id: If you have a SIS account but need additional access to another unit that is not your primary HR appointment

       

      Course and Classroom Scheduling

      • Update: This option is for department scheduling officers only
      • Teacher Collect access only:  Allows you to update instructors associated with courses only
      • Scheduling Access - Course Prefix:  REQUIRED - Enter all course prefixes that you will need access to

       

    4. Click ‘Submit’ at the bottom of the form once it is complete.  The request will then automatically move through a series of approvals based on the specific access requested.
      • You will receive an email once the request has been submitted.
      • Additional emails will be sent as actions are taken on the request. As access to individual systems is granted, emails will provide instructions on how to access and log in to each system.

No, you only need to select the NEW access you need; you do not need to reselect access you already have.

Please include this information in the “Additional Notes” section near the bottom of the form.

  1. Go to IT Service Desk and click on ‘My Cases’. Enter your UMD credentials if prompted.
  2. Find the request in the list and click on it. This will open the details of your request. On the right side, the field labeled “Stage” will indicate one of the following statuses:
    • Unit Approver: Pending approval from the college or unit approver 
    • Review: Pending approval from the Registrar & FERPA online tutorial check 
    • Account Create: Pending action from IT Production Control 
    • Request Fulfillment: Pending approval for at least one of the systems requested 
    • Completed: Action has been taken on each system requested

You will receive an email with information on how to login once access to the system has been set.

Click on “Open Approval Request” from the email to view the request form.

There are two options: 

  • Reject the request and add a comment with the changes needed on the request, or 
  • When you open the request, scroll to the bottom of the page and in ‘Activity Stream’ type in the information you want to add or remove.
  1. Open the request from email and scroll to the bottom of the page
  2. In ‘Activity Stream’, type in the name and SIS account of the person whose access you want copied

Go to IT Service Desk and login with your UMD credentials.  If there are requests awaiting your action, a "My Approvals" menu option will be available for you to select.  Once you click on "My Approvals", any requests awaiting your action will appear.

The "My Approvals" menu option will only display when you have requests to review.
